1: Why would I want to protect a PDF document?

Many people believe that Portable Document Format (PDF) files cannot be easily modified, however, there are PDF editors available, and anyone can read and make changes to your confidential files. Documents can be accessed, copied, printed and modified by anyone once they have been published. Protecting your PDF files keeps confidential information private, and guarantees that your documents are only being read by those to whom you grant access. Protectedpdf.com maintains a log of everyone who views a protectedpdf document. Protectedpdf.crm files are not only secure, but are also an additional source of marketing information.

2: How is your product different from other PDF protection systems?

The existing methods of PDF protection are cumbersome or expensive and require additional software in order to put them to use. Furthermore, these programs do not ensure complete security after the document has been released to the first reader. Other software uses the same password for all readers, does not give you the option to revoke documents and does not allow you to manage versions. The protectedpdf system gives you on-demand, affordable and complete control over a PDF document throughout its lifetime. You can manage who accesses a document and when. With protectedpdf.crm, your documents track themselves and provide you with additional information about who is reading them. You can require each and every reader to provide contact and demographic information in order to access the document. This data is then sent to the salesforce.com Customer Relationship Management database where you can use it to generate marketing reports, contact customers, multiply leads and more. 3: What is Digital Rights Management (DRM)?

DRM generally refers to the segment of technology that controls how digital content is used once published. DRM technologies are used to control and restrict the reproduction of electronic files such as music, videos and now, PDF files.

4: What requirements do I need to use your system?

To begin, you will need an Internet connection and either Microsoft Internet Explorer v5.5 or greater available here or Mozilla Firefox v1.0 or greater available here. To create a regular PDF file, you need Adobe Acrobat Professional or a third party PDF writer. To read a protectedpdf document, you and your clients will need Adobe Acrobat Reader version 6.1.0 or greater available here.

5: So, I don't need to download any additional software to use your system?

There is no additional software required to protect or read PDF documents using our protectedpdf and protectedpdf.crm systems. No additional software is needed to read a protectedpdf document. For protectedpdf.hs, you will need to download a simple plug-in.

6: Can I protect other types of documents (e.g. Word Perfect, Excel)?

The protectedpdf suite only works with PDF documents. However, you can convert many common document types to PDF format using any PDF writer software, such as Adobe Acrobat Professional.

7: Do I need any special knowledge (e.g. encryption or certificates) to use the system?

No. The protectedpdf system is convenient and user-friendly. Rest assured that the protectedpdf team has taken care of all the technical details that might be a concern. If you need technical support, feel free to contact us.

88: How well protected are my documents?

The protectedpdf and protectedpdf.crm products offer protection that meets the needs of most users. If you require a higher level of protection, such as strong encryption or 2-factor authentication, please watch for the release of our protectedpdf.hs product in 2006.

9: Where is my information stored and how secure is it?

Your personal information and documents are stored on our servers which are managed by Rackspace Managed Hosting™. Our partnership with Rackspace ensures you receive the highest possible security and reliability when you utilize our services. Rackspace™ has SAS/70 Type 2 certified Tier-1 data centers in different locations in the world, which are supported by their expert team 24 hours a day, 7 days a week.

10: Does using protectedpdf.com give Vitrium Systems Inc. access to the information that I want to protect?

No. We cannot access your documents because you keep the passwords for those documents. Your passwords are not available to us.

Q: Is a backup of my documents retained in some way?

Yes. As long as your document remains active, a copy is retained on the protectedpdf servers. The copy is deleted when you change the status of a document to "retired".

13: How intrusive is the process for the readers of my protectedpdf documents?

Your readers will be required to register only once to access the system. Thereafter they are subject to the rules you apply to your document, in keeping with your needs for document security. You can decide how much and what kind of information is required from your readers in order to access your protectedpdf documents.

14: What audit logs does protectedpdf generate?

The audit feature of the system maintains a complete audit record of all activities related to your protectedpdf documents. You can track a number of different events including: logins and logouts, document additions, modifications, and times viewed. The system also logs when folders are renamed, when users are added or removed and when document access is granted or revoked.

15: How can I get access to documents already protected by others within my company?

Each registered company has one or more administrators. You will have to contact an administrator in order to arrange permission to access your company's already protected documents.

Not at this time, but we are currently in talks with additional CRM vendors.
