Accounting & Office Administrator

Vitrium Systems, a leading content security software provider in Vancouver, seeks an Accounting & Office Administrator who will bring a lot of energy, passion, and dedication to the job.  Our company has aggressive growth plans and seeks someone who can help us achieve our goals.  We are a small company of 10 based in downtown Vancouver, close to all transit hubs, with a great gym in the building.  We are a hard-working, nose-to-the-grind kind of company, but we also offer flexible working hours, are committed to a work-life balance, and enjoy stimulating conversations around the office!

You are an extremely organized, hard-working, self-motivated individual with a passion for accounting and finance, and willing to step in to handle a wide variety of tasks, including full-cycle accounting, payroll, light HR duties, organizing company events, keeping the office well stocked, and more. We’re ideally looking for someone to work full-time, but open to someone who may want to work part-time (3-4 days per week) if they’re extremely well organized and efficient with their time.

Key Responsibilities:

·         Full-Cycle Accounting Duties:

o   Prepare customer invoices, post to accounts, and manage accounts receivables

o   Pay vendor invoices, post to accounts, and manage accounts payable

o   Manage the company’s deferred revenue and accrued liabilities accounts

o   Deposit cheques in the bank and monitor for incoming wire payments

o   Reconcile multiple bank accounts and credit cards

o   Prepare monthly financials including P&L and balance sheet

o   Prepare cash statements and cash forecast reports

o   Prepare monthly customer churn reports

·         Other Accounting Duties:

o   Prepare and submit GST, PST, and EHT remittances

o   Prepare and file WorksafeBC reports

·         Payroll & Light HR Duties:

o   Prepare and submit payroll via ADP Team Pay

o   Prepare monthly commission reports

o   Administer employee benefits

o   Assist with light HR duties such as posting jobs when they are required, conducting phone interviews, updating staff about new company policies or changes to the Employee Handbook

·         Office Administration:

·         Maintain organized files, both physical and electronic

·         Order office supplies and other stock items as required

·         Organize company events

·         Communicate with the building’s property manager or disseminate information to staff

·         Provide other assistance to the CEO as needed

Required Qualifications:

·         Minimum 2-3 years’ work experience in full-cycle accounting

·         Degree or diploma in accounting or bookkeeping, or equivalent work experience

·         Excellent organization skills with strong attention to detail and accuracy

·         Strong written and verbal communication skills

·         Proficient working with technology and software

·         Strong Microsoft Office skills, particularly with Excel

·         Experience working with QuickBooks desktop or similar accounting program

·         Experience working with ADP Team Pay or similar payroll software

Desired Qualifications:

·         Experience working with deferred revenue

·         Experience working in a software company, preferably a software-as-a-service (SaaS) company
